Summary

Whether travel is abroad or domestic, good cybersecurity practices protect you, your data, and the institution while working remotely. This document provides a set of best practices and guidance to help you with your travels.

General Tips to Secure your Laptop, Mobile Device, and Data

Know your data

If your computer contains any of the following information, consider backing up the data to an approved campus storage service for institutional data, or personal cloud service for personal data. After verifying the data was copied, it is recommended to remove it from your device(s) for the duration of your trip.

  • Student information such as:

    • grades

    • your comments on a student’s work

    • any other non-directory information on a student

  • Proprietary information, including but not limited to:

    • unpublished research such as drafts of articles

    • in-progress projects

    • research datasets

    • third-party proprietary information

  • Institute data that can not be recovered if your computer is lost or stolen.

  • Personal information such as:

    • tax returns

    • any social security numbers

    • health record information on you or a family member

Preparing your computer and data for travel

  • Back up your data and leave a copy of your files in a safe and secure location such as your office or a Franklin College or UGA file storage service (E.g. U-Drive or OneDrive)

  • Ensure that your account has a strong password or passphrase when it boots up.*

  • Consider enabling full-drive encryption on your device with Franklin OIT-managed keys.

    • This ensures that your data cannot be retrieved, even in the case of theft and if you forget the key, Franklin OIT can help you retrieve it.

    • Contact Franklin OIT to enable this feature.

  • Turn off file-sharing and print-sharing.*

  • Apply all software patches and updates.*

  • Ensure that anti-virus, anti-spyware, and firewall software is installed on your laptop.*

  • Install the UGA Virtual Private Network (VPN) client on your laptop so that you can securely access UGA resources such as OneSource, Data warehouse, and similar institution services while traveling.*

  • Ensure your Archpass DUO configuration has more than one way to verify your login credentials through two-factor Authentication (2FA) such as one or more telephone numbers in addition to the application itself.

  • Reach out in advance to Franklin OIT to plan your trip and check that your device and data are protected.

* Franklin OIT-managed computers already have these protections implemented. Reach out to Franklin OIT if additional confirmation is needed or there are questions.

Additional areas for consideration

International travelers should take extra precautions. Certain information, technology, software, and equipment you take with you may be subject to U.S. export control laws. You must ensure that all the information and software on your laptop can be safely and legally transported to another country.
